The Office of the University Secretariat requires an Assistant Secretary to the University who will work as a team member to provide overall support, organization and administration required to ensure effective institutional governance.

Reporting to the Associate Secretary to the University, the main responsibilities of this position will include: facilitating formal meetings of the Board of Trustees, Senate and committees and accurately recording and producing timely, professional and objective minutes; organizing meetings and liaising with committee Chairs and members; conducting research and providing analysis for members of the administration, the Board and Senate; reviewing and providing advice on parliamentary procedures, policies, agendas, protocols and practices; responding to enquiries related to bylaws, The Brock University Act, the Faculty Handbook, and University policies; and maintaining absolute confidentiality in all matters required.

Due to the timing and volume of meetings supported by the Office of the University Secretariat, flexibility in working hours over the normal work week and time management skills are required to meet ongoing deadlines.

The ideal candidate will possess:
• A University degree;
• A minimum seven years of related experience;
• Expert minute-taking skills and facilitation of meetings;
• Knowledge of parliamentary procedures i.e. Robert’s Rules;
• The ability to work independently with a high level of judgement, critical thinking and decision-making;
• Expert writing, proof reading and communication skills at a university-level education;
• Experience with governing bodies and knowledge of institutional governance;
• Research and problem-solving capabilities;
• High levels of tact, diplomacy, discretion;
• Exceptional attention to detail and exceptional organizational abilities;
• Ability to interact professionally and effectively with internal and external constituencies;
• Strong computer skills including word processing, website management, project management/planning skills.
