Job Summary

Reporting to the Centre Director, Centre for Applied Disability Studies, the Office Assistant provides clerical and general administrative support for the Centre and its students. The responsibilities include: assisting with external advertising, including brochures, recruitment, phone calls, maintaining email lists; answering calls and responding to commonly asked questions about the program; assisting with navigating the website and online application process; redirecting questions to the appropriate Faculty or Staff member when necessary; assisting with maintaining the website and online course maintenance; creating and maintaining interactive online forms; administering activities related to mounting courses including online courses; assisting with conference organization and recruitment; assist with processing Graduate Admissions, monitoring and maintaining deferral lists; assisting with PowerPoint presentation development, orientation planning; assisting with CUPE contracts of employment and job postings; assist with other clerical duties including financial forms, conference budget monitoring, research budget monitoring, on-line problem solving, sourcing catering and rental possibilities within define budgets; and other duties as assigned.

Qualifications

• Post-secondary courses in Office administration and standard office computer applications or other Administrative Assistant related courses;
• Previous experience and demonstrated ability in a related administrative support capacity, preferably in a university or related setting;
• Strong written and verbal communication and interpersonal skills
• Knowledge and previous experience with conference coordination, i.e. mailing lists, recruitment, cost-recovery budget models
• Computer Knowledge: In-design, Adobe, Photoshop, Word, Excel, PowerPoint, Web development and maintenance (DBBrock, graduate admissions, scheduling and contract systems would be considered an asset);
• Understanding of research policies and procedures regarding research grant funding is an asset
• Experience working with community-based disability support agencies is an asset
