Reporting to the Controller and Manager of Finance, the Supervisor, Accounts Receivable supervises the Accounts Receivable department in the Student Finance Office. This position is responsible for serving as a resource person for the department, basing answers related to policies of the department and sharing their knowledge of the Accounts Receivable System. Additionally, this position is responsible for taking the lead role in the monitoring and collection of outstanding student accounts, communicating directly with students and parents, recommending student accounts that will be referred to the appropriate agency.
Duties and Responsibilities
• Providing leadership for the department by coaching staff, introducing new ideas for streamlining workload and having a positive attitude for dealing with students and other departments within the university
• Utilizing in-depth knowledge of the student finance system, other university departments (e.g Registrar’s and Student Awards and Financial Aid Office) and the policies and procedures of the University, as they relate to tuition payments and refunds, to assist Accounts Receivable staff to deal with problematic issues
• Directing Accounts Receivable staff to ensure work is done in a timely, effective and accurate manner, assigning or reallocating tasks as required
• Advising and working closely with the Controller and Manager of Finance related to policies, procedures and practices
• Working in collaboration with the Accounts Receivable staff to create and maintain a Staff Function Procedural Manual
• Monitoring and collecting outstanding accounts and ensuring that a process exists where all students with outstanding accounts are tracked and notified
• Supporting Students Accounts staff when dealing with third party agencies to deal with challenging situations and to ensure all accounts are paid
• Assessing information related to student assessments and reviewing charged items for accuracy and monthly interest charges
• Maintaining and upgrading the Finance Student websites
• Representing Student Accounts at Open House and SmartStart
• Other duties as assigned
The ideal candidate will have:
• Some University courses in accounting, business or a related industry
• Demonstrated experience with Accounts Receivable, collections or banking in a large organization, preferably educational, public sector or broad service sector customer experience
• Proven ability to perform accounts receivable procedures and preparing detailed financial reports and accurate statements
• Demonstrated experience supervising, coaching and encouraging staff
• Proven ability to work with various computerized systems including databases requiring query use (e.g. MS Excel, MS Word, creating spreadsheets, manipulating data and analyzing information, sorting, lookup, formatting and mail merging)
• Strong written, verbal and interpersonal/customer service communication skills and ability to diffuse emotional situations
• Strong organizational skills, in order to coordinate and direct the work of the department and the ability to cope with multiple demands and resolve priority conflicts
• Demonstrated experience with Website maintenance
• Knowledge of privacy legislation as it relates to University environments
• Demonstrated knowledge of Brock’s Student system or other areas of the University (an asset)
• The ability to work flexible hours (as required during peak season)
