Job Summary

Reporting to the Director, Alumni Relations, and working closely with Faculty and University Alumni Relations teams, the Coordinator Alumni Special Events is responsible for leading the institution’s efforts to significantly grow the number of new and existing alumni events (in particular Alumni Weekend as a major annual alumni event) and will ensure that all alumni programs and event support are in keeping with the Advancement mission of the University. Duties include: conceptualizing, coordinating and executing a portfolio of alumni events (including budgeting, menu and all other logistics); organizing and leading volunteers; promoting and marketing events utilizing the web/social media and print materials; maintaining accurate records for all events and sponsorships relating to each event; ensuring evaluation mechanisms are in place; developing reports; collaborating with relevant stakeholders to identify, solicit, cultivate and steward prospects for events sponsorship and prizing; ensuring all financial matters are processed in accordance with relevant legislation; participating in the development of advancement event strategies and support advancement activities though networking with alumni at events; and researching alumni stories.


The successful candidate will possess a degree/diploma in a related field (degree preferred) with several years’ experience in special event organization at a post secondary institution or non-profit organization (Alumni event experience would be an asset) or the equivalent combination of education and experience. You possess a broad knowledge and demonstrated experience of all aspects of event production management including experience in securing sponsorship and in-kind donations for events. Your background includes a working knowledge of relevant legislation related to fundraising (Canada Revenue Agency guidelines, Privacy legislation) as well as promoting/marketing events utilizing a variety of methods. The proven ability to manage multiple projects and meet deadlines with attention to detail and consistent follow up is essential as is exceptional oral, written interpersonal skills and professional presence necessary to interact with alumni, senior volunteers and stakeholders. Excellent problem solving, organizational, negotiation and analytical skills are essential. Demonstrated computer proficiency in Word, Excel, PowerPoint, Access (or other database), Outlook, statistical analysis software, internet, social media and email technologies is required as is proficiency with Raiser’s Edge and website management/online fundraising tools. Flexibility in hours is also required for this position.
