Job Summary

Reporting to the Associate Director, this position will provide clerical and administrative support for the Faculty of Graduate Studies in three main areas: graduate student admissions; awards and funding; and graduate student records. Graduate admissions duties include: processing applications and admission decisions; maintaining and updating graduate student application and admission information; routine correspondence with applicants/programs; and producing application and admission reports. While assisting with scholarships and awards, duties will include: assisting with the administration of internal and external scholarships, awards and graduate funding; maintaining awards documentation; calculating averages and checking the eligibility of applications; advising departments/ programs and committees regarding administrative deadlines; composing routine correspondence, and assisting with the organization of workshops and events. While assisting with graduate student records, duties will include: maintaining and updating graduate student records; performing student course registration; processing grades; verifying international transcripts; assisting at the convocation ceremony; answering questions regarding graduate student records; verifying registration status; and preparing reports as necessary.

Qualifications

Previous experience and demonstrated ability in a related administrative support capacity, preferably in a University Graduate Studies office, combined with post-secondary courses in computer applications or other Administrative Assistant related courses, is required, or the equivalent combination of education and experience. You possess thorough knowledge of computer applications (Word, Excel) and competency with email, calendars and scheduling (Outlook), Internet, as well as a strong understanding and experience using relational databases, queries and reporting. Strong interpersonal skills, ability to interact positively, courteously and professionally with a variety of constituents (e.g. students, faculty, staff, Graduate Program Directors, Deans/Associate Deans etc.) is essential, as is the ability to exercise judgment, tact and diplomacy with all contacts. Superior organizational and prioritization skills are necessary, as well as proven ability to work independently, take initiative, and handle a variety of projects, deadlines, and administrative duties simultaneously in a fast-paced, work environment. Excellent written communication, proofreading, accuracy and editing skills are required, as well as excellent oral communication and problem solving ability when responding to inquiries and requests. Previous experience with DBBROCK/BEARS/BROCKDB is an asset.
