Job Summary

This position will provide administrative and clerical support to the Graduate Program Director for Graduate programming in Applied Linguistics. Responsibilities include: providing reception and answering telephone and in-person inquiries; responding to general inquiries and providing information about the Graduate programming in Applied Linguistics and its course offerings or redirecting as appropriate; mailing program information to prospective students; carrying out administrative support functions using DBBROCK; assisting with the Graduate Studies Calendar submissions; sorting and distributing mail and various forms; establishing and maintaining the Graduate program filing system; compiling data and preparing related reports; maintaining and reconciling Graduate Program budgets and accounts; preparing purchase requisitions, reimbursements, cheque requisitions and expense claims using the on-line purchasing system; monitoring payment of student fees for Bridged Entry students; booking rooms and/or equipment for various functions; assisting with the preparation of minutes of the Graduate Committee; performing other general clerical support duties, including word processing, composing and producing general correspondence; preparing, formatting and proofreading correspondence, photocopying, filing and preparing mass mail-outs.


• Post-secondary courses in Office administration and standard office computer applications or other Administrative Assistant related courses.
• Previous experience and demonstrated ability in a related administrative support capacity, preferably being familiar with the operations of a graduate program.
• Proficient computer skills and competency with e-mail, internet, databases and Microsoft Office applications (Word, Excel, PowerPoint, Access, Adobe Acrobat, Outlook).
• Excellent written and oral communication and interpersonal skills.
• Excellent judgment, problem-solving and organizational skills.
• The ability to organize and prioritize work and communicate effectively with contacts from diverse cultural and socio-economic backgrounds.
• Proofreading and detailed record keeping skills.
• Proven ability to handle a variety of projects, schedules, and office duties simultaneously under limited supervision and with deadlines.
• Demonstrated flexibility, with an ability to adapt and change priorities when faced with new information.
