Job SummaryReporting to the Chair of Philosophy, you will provide accurate, effective, timely and proactive reception, administrative and budget support to the Department. Duties will include: providing the initial public face of the department and frontline contact person, greeting students and responding to general inquiries (telephone, email, in-person) and redirecting as necessary; providing course-related support to faculty, such as coordinating printing within deadlines, processing requests for textbook orders; maintaining and reconciling operating budget accounts, including transfers, purchase and cheque requisitions; maintaining the Department’s website; coordinating course evaluations and compiling summaries; coordinating course grade submissions; assisting the Graduate Program Director as needed, including scheduling, coordinating arrangements for workshops and maintaining supplies; preparing the annual Undergraduate and Graduate Program Calendar submission; preparing memos; receiving and circulating incoming mail; photocopying; typing manuscripts; processing departmental expenditures; assisting faculty with the organization of special events and conferences; and creating and maintaining the office filing system.
QualificationsRelated post-secondary courses in administrative assistant programs and computer applications combined with several years’ related experience and demonstrated ability in an administrative support capacity preferably in a university academic department, or an equivalent combination of education and experience. Your previous experience has provided you with the ability to work in a fast-paced and changing environment, with multiple interruptions. Strong computer skills including Word, Excel, Outlook/Exchange, content management systems and website maintenance, database (DBBROCK/BEARS preferred), e-mail and Sakai. Demonstrated excellence in written communication, proofreading and editing skills is required, as well as excellent oral communication and interpersonal skills. Proven judgment, initiative, problem-solving and organizational/records management skills are essential, as well as the ability to work independently in a supportive and collaborative manner. Knowledge of the processes in running a Graduate program will be an asset.
