Reporting to the Chair of Sociology, you will provide administrative, reception, clerical and budget support for the department. Duties will include: responding to general inquiries (telephone, email, in-person) and routine requests from students, faculty, part-time instructors, TAs, other University departments and outside organizations and redirecting questions concerning academic counseling or program decisions; providing ongoing admin support to departmental faculty; maintaining and updating the departmental website; administering the departmental budget, i.e. advising the Chair and faculty on budgetary procedures and current accounts, maintaining and reconciling budget accounts, arranging transfers, preparing and submitting cheque requisitions, travel claims and refundable expenses, and monitoring for accuracy; creating and maintaining the office filing and computer filing; coordinating and attending department meetings and retreats; processing course grades; preparing undergraduate calendar submissions; preparing and coordinating course evaluations; performing other general clerical and administrative support, e.g. word processing, general correspondence, preparing, formatting and proofreading correspondence for the Chair, acting as recording secretary for the department, ordering and maintaining office supplies, supervising allocation of office keys, as well as taking responsibility for the daily operation and maintenance of the office equipment and space.
Related post-secondary courses in computer applications and other administrative assistant programs with several years’ related experience and demonstrated ability in an administrative support capacity, specifically in an academic department/centre, or an equivalent combination of education and experience. Extensive experience with computers and other office equipment and records management. Computer skills will include word processing, spreadsheets, database (DBBrock/BEARS is an asset), graphics, internet and webpage design/maintenance, email, portals, and converting digital files produced by different application software. Excellent written and oral communication skills are essential as well as initiative, sound judgment and discretion and the ability to perform well under pressure while establishing and maintaining cooperative and effective relationships with students, faculty, staff and community members. The ideal candidate will possess knowledge of the structure, organization and functions of Brock University, including updated knowledge of relevant policies, procedures and systems.
