Leave The Pack Behind (LTPB) is a comprehensive, evidence-based tobacco control research initiative, which combines programming with applied research. Dual goals of LTPB are to promote smoke-free living at all colleges and universities across Ontario, and investigate patterns of tobacco use among post-secondary students. Reporting to the Assistant Manager, you will provide administrative support and assistance for the Central Office of LTPB, including all administrative and clerical duties associated with financial operations, office communications, records management, and related data entry. Responsibilities include: coordinating and processing electronic payroll for all student staff; assisting with all budgetary operations of the LTPB project, including processing purchase orders, travel claims, cheque requisitions, etc.; providing monthly budget reports to LTPB Directors and funders; regularly communicating with partners and suppliers (telephone, email, in-person); developing and maintaining record keeping systems, including spreadsheets, databases, portal systems, shared drives and paper filing systems; organizing and monitoring inventory and shipments; and providing general office assistance (formatting documents, ordering new materials, data entry, taking minutes, booking meeting rooms, etc.).
Post secondary courses in computer applications and other administrative assistant programs with several years’ experience in payroll or financial management capacity preferably in a university or similar environment (or an equivalent combination of education and experience). The position requires a self-starter with excellent interpersonal skills, the ability to work independently, problem-solve, establish priorities, organize own work, and communicate professionally and diplomatically. Thorough knowledge of Microsoft Office computer applications, including word processing and spreadsheets, database maintenance, report generation, web applications and the internet are required. Excellent written and oral communication skills are required. This position requires flexibility with respect to hours of work in order to attend off-campus meetings.
