How to transition from Residence to Conference Services?

This information is applicable to students that are in residence for April exams and do not wish to move out after exams but continue their accommodation till courses start on May 2, 2016.

How to make a transition after winter exams?

If you would like to extend your stay for the 2015/2016 term on campus after exams until the start of your official stay with Conference Services then please read the following information:

·         Fill out the application form and return it before Thursday, March 31, 2016 by 4:30pm.  No charges will be applied to your credit card until Monday, April 4th  when we have confirmed your extension.

·         Payment will be need to be made in full within 5 business days of the invoice we will send to you  There are no refunds permitted once you have submitted your request and payment has been processed.  Extensions will not be granted to anyone that misses this deadline.

·         You will receive confirmation of your request for extended stay before Thursday, April 7, 2016 at 4:30pm.

How much does it cost to stay on campus between last exam and May 1st?

The cost per night between your last exam and May 1st depends on the residence you are in.  This is the amount that will be paid to Department of Residence by Conference Services on your behalf.

When do I have to leave if I don’t extend?

The Residence Agreement stipulates that students must vacate their rooms and leave residence by NO LATER THAN 12 noon the day following their last exam in April or by noon on April 21, 2016 whichever comes first. These guidelines exist in order to ensure that residence remains an environment conducive to academic success during the examination period.

If you follow the above procedures and pay for your tranisiton on time we will try to accommodate your request to stay in your current room.  But please note that we cannot guarantee your current placement in residence in view of the fact that each units has different availability dates set out already.

Overview

1.  Send a reservation by mid-March.

2.  Submit application to extend in-person with your payment by Thursday, March 31 at 4:30pm to confirm your extension. (Vallee 200 office)

3.  Confirmation or denial will be confirmed by April 7 at 4:30pm
